Privacy notice
Last updated October 24, 2026
Dakik is a time clock and payroll-records service made by NextGear Holding Inc. ("NextGear", "we", "us"). This notice explains what information we handle on dakik.us and in Dakik time clocks, why, and what choices you have.
There are two kinds of people this notice is for:
- Visitors to dakik.us, including people who send us the demo form.
- People who use a company's Dakik time clock, such as employees, contractors and managers. In this case your employer (or the company you work for) decides what information is collected and how it is used. We hold and process it on the employer's behalf, as their service provider.
1. Visitors and demo requests
When you send the demo form, we receive your name, company, email address, and, if you give them, your phone number, crew size and message. We use this only to reply to you and to set up a demo or trial. We keep these messages in our business email.
dakik.us does not use advertising or analytics cookies, and we do not sell or share your information for advertising. Pages load fonts from Google Fonts, so your browser connects to Google when a page opens.
2. Information in a company's time clock
Depending on how your employer sets up Dakik, a time clock can hold:
- Profile: name, phone, email, home address, date of birth, worker type (employee or contractor), pay rate or salary, pay schedule and work schedule.
- Time records: clock-in, clock-out and break times, jobs, missed-shift and time-off requests, manager approvals and edits. Every change to a time entry is logged with who made it and when.
- Location: if your employer turns on the workplace location check, the time clock asks your phone for its location when you clock in or out. While you are clocked in and the time clock is open on your phone, it also checks from time to time whether you are still at the workplace. Your location is not tracked when the time clock is closed or when you are not clocked in. Your phone asks for your permission first.
- Pay information: hours, overtime, gross pay, Social Security and Medicare estimates, bonuses, deductions, reimbursements and pay stubs.
- Receipts: photos of expense receipts you or a manager upload. The amount and date are read from the picture automatically.
- Hiring forms: if your employer sends them, the IRS forms you fill in (W-4, W-9 or W-8BEN) and your signature. These include your Social Security or taxpayer number, plus bank details for direct deposit and a photo of a driver license or other ID.
3. How it is used
Time-clock information is used only to run that employer's time clock: recording hours, preparing payroll totals and reports for the employer, handling requests and hiring paperwork, and sending reminders. We do not use it for anything else. We do not sell it, use it for advertising, or combine it with other companies' data.
4. Where it is stored and who can see it
- Each employer's records are kept in its own Google Sheet and Google Drive folders, in a Google Workspace account that NextGear runs for Dakik. Hiring forms are kept in a separate folder that only that account and the people the employer names can open.
- Each person opens the time clock with a personal link and sees only their own hours and pay. Managers sign in with a PIN; PINs are stored only in scrambled (hashed) form.
- Your employer's managers can see their own company's records. NextGear staff open them only to provide support, fix a problem, or when the employer asks.
- We use these service providers: Google (Apps Script, Sheets, Drive and Gmail) to run the time clocks and store records, and Cloudflare for dakik.us, the company addresses (for example company.dakik.us) and email delivery. They process data for us under their own security and privacy terms.
- We may disclose information if the law requires it, for example to respond to a valid court order.
5. Cookies and your phone
A company address such as company.dakik.us sets one small cookie that remembers you have already seen the "add to home screen" page. The time clock also saves your language choice on your phone. Neither is used for tracking or advertising.
6. How long we keep it
Time-clock records are kept for as long as the employer uses Dakik. When an employer stops, we return a full copy and delete the records when the employer asks, unless the law requires them to be kept longer. Payroll and tax rules often require employers to keep records for several years, and the employer is responsible for meeting those rules. Demo request emails are kept as normal business correspondence.
7. Your choices
- If you work for a company that uses Dakik, ask your employer to see, correct or delete your information. We will help your employer answer your request.
- Employers can ask us at any time for a full copy of their records or for deletion.
- Visitors can ask us to delete a demo request by emailing us.
- Depending on where you live, you may have other privacy rights. Contact us and we will respond as the law requires.
8. Security
Connections to dakik.us and the time clocks are encrypted (HTTPS). The account that holds the records uses two-step verification, and access is limited to the people who need it. No system is perfectly secure. If a breach affects your information, we will tell the employer, and help notify the people affected as the law requires.
9. Children
dakik.us is a business service and is not meant for children under 13. We do not knowingly collect information from them.
10. Changes and contact
We may update this notice and will change the date at the top when we do. If a change is important, we will tell employers who use Dakik before it takes effect.
